Document Control Specialist

 

Fast Track Professionals is seeking a qualified Document Control Specialist to prepare, manage and file documents for engineering or construction projects.

The responsibilities of Document Control Specialist include creating document control folder structure, managing and archiving all project communication, and assisting project team to obtain access to the necessary documentation. To be successful in this role, you should have previous experience with document control and management on engineering and construction projects. 


Responsibilities


 

  • Experience working with web-based document control tools on design, engineering, and construction projects
  • Create a document folder structure for organizing project files and communication
  • Check for naming convention accuracy of files and archiving
  • Review and update documents 
  • Manage administrative document control workflow in projects
  • Distribute project-related files to project team
  • Archive documents in physical and digital records
  • Create Microsoft Word templates for future use
  • Retrieve files as requested by project team and clients
  • Manage the flow of documentation within the organization
  •  Assists in implementing new and improved document management processes.
  • Maintain confidentiality around sensitive information and project records
  • Ability and flexibility to assist with ad-hoc requests on projects as needed


Requirements


  • Proven work experience as a Document Control Specialist or similar role
  • Knowledge web-based document control or project management information system (PMIS)
  • Hands-on experience with MS Office, MS Excel, and Adobe
  • Knowledge of contract administration and electronic workflow system
  • Proficient in reading and writing English
  •  Ability to engage and communicate effectively (written and verbal) in a project environment with clients, project team, and senior management, executives 
  • Attention to details and organization skills
  • BSc degree

Construction Cost Estimator

 Fast Track Professionals is seeking a qualified cost estimate specialist to assist with developing detailed capital cost and change order estimates.  


Responsibilities


  • Prepares Rough Order of Magnitude (ROM) estimates for projects and products by analyzing costs, materials, labor, bid documentation, and specifications associated with each project.
  • Designs, implements, and maintains cost estimating database(s) using various software applications.
  • Reviews drawings and specifications to determine costs and assists in value management on projects; evaluates third-party estimates and tracks market costs to validate estimates.
  • Collaborates with project managers in the preparation of contracts and subcontracts and the negotiation of revisions, changes, and additions to contractual agreements with general contractors, architects, clients, and suppliers.
  • Participates in the analysis of proposed and pending capital funding requests.
  • Provides reports on various projects ranging from small - to large-scale by collecting, analyzing, and summarizing cost information and trends.
  • Provides technical guidance and direction to project managers in regards to specialized methodologies, techniques, principles, and/or processes related to estimating; serves as subject-matter expert to internal and external constituents as it relates to cost estimating. 
  • Ability to compare the independent cost estimate with contractor proposal to quickly identify differences.
  • Provide support in price negotiations.
  • Prepare claim analyses and estimates.
  • Performs miscellaneous job-related duties as assigned.


 Requirements


  • High school diploma or GED; at least 7 years of experience directly related to the duties and responsibilities specified.
  • Completed degree from an accredited institution in construction management or related field may be substituted for experience on a year-for-year basis.
  • Knowledge of current applied techniques in project estimating from conceptual state to final detailed estimating.
  • Knowledge of cost estimating software and tracking to create a database tool for cost estimating and forecasting.
  • Knowledge of building information modeling as an estimating data tool.
  • Knowledge of building construction, materials, and methods.
  • Knowledge of Federal, State, and local building codes, ordinances, and regulations.
  • Ability to read and interpret plans and specifications.
  • Effective verbal and written communication skills.
  • Skill in the use of estimating software programs, such as CostWorks, AutoCAD and Microsoft programs.
  • Knowledge of computer spreadsheet software.
  • Skill in organizing resources and establishing priorities.
  • Ability to understand and follow complex, detailed technical instructions.
  • Strong interpersonal and communication skills and the ability to work effectively with a wide range of constituencies in a diverse community.
  • Ability to communicate technical information to non-technical personnel.
  • Knowledge of current technological developments/trends in area of expertise.
  • Knowledge of critical path milestones and construction schedule impact to costs.
